Are you passionate about sustainability and the environment? Do you have previous experience and knowledge relating to working with a not-for-profit Board of Directors? We’re on the hunt for a passionate and dedicated volunteer Board Relations Manager! This volunteer role is a key member of our Strategy and Governance team, works closely with the Executive Director, and acts as a support to ensure this bi-directional intermediary work to ensure understanding.     

As the Board Relations Manager you would fulfill the following responsibilities: 

  • Prepare agendas, pre-reads, and feedback from the Executive Director for all Board of Directors meetings, including the Annual General Meeting
  • Attend and take minutes at all Board of Directors meetings (to be approved by the Board Secretary and Executive Director)
  • Ensure minute book is up to date and edits to by-laws are executed as required by law
  • Facilitate the generation of the monthly Executive Director report to the Board which highlights all activities related to each functional area within the organisation 
  • Support the actions of the board subcommittees
  • Manage the Board of Directors file share on Google Drive
  • Provide support to the Executive Director in all activities related to the Board of Directors including the integration of board members into the organisation
  • Actively participate in Functional Area Manager meetings to bring (non-confidential) perspectives from the board and ensure organisational activities are effectively communicated at Board of Directors meetings
  • Assist with the recruitment, administration and onboarding of new board members
  • Maintain and manage the board skills matrix and required information of the board members
  • Support the review and updating of board policies by board subcommittees

  • Passion for environmental issues, community-based leadership, and Waterloo Region.
  • Understanding the role of the Governance board of directors and requirements of board function within a non-profit corporation.
  • Team player with the ability to engage with a diverse group of people.
  • Helping mentality, focused on ensuring others have the resources and support that they need.
  • Strong internal and external communication skills.
  • Experience working with a variety of stakeholders, an asset.
  • Ability to manage and respect confidential information.
  • Outstanding organizational skills with a strong attention to detail.
  • The ability to work independently and meet deadlines.
  • Experience using Google Drive, or a willingness to learn.
  • Previous experience working with a not-for-profit board, an asset.
  • Availability outside of 9 AM-5 PM for events and volunteer meetings.

The Board Relations Manager  will receive an SWR email address and access to Google Drive, allowing them to complete their volunteer tasks remotely or in the Sustainable Waterloo Region office. This position will require in-person attendance for board meetings (quarterly), all team meetings (monthly), and Functional Area Manager meetings (monthly). Our office is located in the  evolv1 building at 420 Wes Graham Way in Waterloo, Ontario.
